Last updated: October 11, 2026

1. Introduction

Welcome to Wage Payroll. We respect your privacy and are committed to protecting your personal data. This privacy policy will inform you about how we look after your personal data when you visit our website and tell you about your privacy rights and how the law protects you.

2. Information We Collect

We may collect, use, store and transfer different kinds of personal data about you which we have grouped together as follows:

  • Identity Data: first name, last name, username or similar identifier
  • Contact Data: email address, telephone numbers, and business address
  • Financial Data: bank account and payment card details
  • Transaction Data: details about payments to and from you
  • Technical Data: IP address, browser type and version, time zone setting and location
  • Usage Data: information about how you use our website and services

3. How We Use Your Information

We will only use your personal data when the law allows us to. Most commonly, we will use your personal data in the following circumstances:

  • To provide and maintain our payroll management services
  • To process your transactions and manage your account
  • To communicate with you about our services
  • To improve our website and services
  • To comply with legal obligations
  • To detect and prevent fraud

4. Data Security

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorized way, altered or disclosed. We use bank-level encryption and security protocols to protect your sensitive information. Access to your personal data is limited to employees, agents, contractors and other third parties who have a business need to know.

We use a small number of service providers to run the service: cloud hosting and infrastructure providers that store and process data for us, and our payment provider, FastSpring, which handles payments. They may process personal data only on our instructions, under written confidentiality and data-protection terms, and we remain responsible for them. We do not allow them to use your personal data for their own purposes.

If a security incident affects your personal data, we will notify the primary account contact without undue delay, and tell you what we know about the incident and what we are doing about it.

5. Our Role and Data Processing Addendum

For the employee and payroll data you submit to Wage Payroll, your organization is the controller and Wage Payroll acts as the processor (or the equivalent roles under your local law). We process that data on your instructions and only to provide, support, secure and improve the service. A Data Processing Addendum covering sub-processors, security measures and, where relevant, international transfers is available on request at support@wage-payroll.com and can form part of our agreement with you.

6. Data Retention

We will only retain your personal data for as long as necessary to fulfill the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements. To determine the appropriate retention period, we consider the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorized use or disclosure, and applicable legal requirements.

7. Your Legal Rights

Under certain circumstances, you have rights under data protection laws in relation to your personal data, including the right to:

  • Request access to your personal data
  • Request correction of your personal data
  • Request erasure of your personal data

10. Cookies and Similar Technologies

We use a small number of cookies. The strictly necessary ones keep the site working; everything else is placed only if you allow it, and you can change or withdraw that choice at any time through the Cookie settings control in the footer of every page. We group them as follows:

  • Strictly necessary: keep the site and its security working. Always on, and not used to track you.
  • Preferences: remember the country and the language you picked, so the site opens the way you left it. Set only when you choose a country or a language, and only if you allow preferences.
  • Analytics: help us understand how the site is used so we can improve it. Placed only with your consent, and nothing is measured before you give it.
  • Marketing: let us measure and target campaigns. Placed only with your consent.

We do not place analytics or marketing cookies before you consent, and rejecting them does not limit what the site does. Your choice is stored for 180 days in one first-party cookie (its name is wage_consent). The Cookie settings control in the footer re-opens the same panel, where you can change or withdraw the choice at any time. We do not currently place any third-party cookies.
